It's Time To Keep Track Of Them!
Take a moment and try to count how many different usernames, passwords, PINs, and validation question answers you have floating around out there on the internet. Chances are you have more than 50 and that number will continue to grow for the rest of your life. I can't tell you how many times I have mixed up passwords and gotten locked out of systems or have had to spend 10 minutes verifying that I had access to an account and just forgot my password.
A few years ago, I hit a breaking point where I decided to formally keep track of my passwords inside a secured (password protected) Excel spreadsheet. That spreadsheet has changed a lot over the years with different setups and various functionalities. When I first developed The Spreadsheet Guru, one of my goals was to share my personal Excel templates with the world to help others who aren't insanely obsessive about perfecting their spreadsheets as I am!
So here it is, my first "personal" template that anyone can use! Check out the features and click the download button below to get a free copy for yourself!
Most people might currently have a simple spreadsheet that serves its purpose of listing out passwords and usernames, I have come up with something much more. My Excel spreadsheet is designed to allow you to find the specific password you are looking for within seconds. This is based on the fact that as humans, we are able to process images much faster than text. You'll see below that every line item in the My Passwords Excel tracking template has an icon associated with it, and this my friend will make life so much easier!
The Ease Of Adding A New Account Line
It is extremely easy to add a new row to your password table. Simply highlight a cell in the table you would like to insert a row beneath and click the green plus icon in the upper right-hand corner of your spreadsheet. Type in your account name and an icon will automatically pop in right beside it. Yep, it's just that simple!
There are thousands of sites that require log-ins and there's no way I could store all of them inside this Excel template. So how was I suppose to account for the variability of each individual person? Well, I gave the power to customize to you, the user!
Inside the template, there is a spreadsheet tab called Icons. In this tab, you can copy & paste any icon from a company (I use Google image search to find my icons) and the image will automatically be re-sized and pulled into the password tracking table. I have pre-populated the template with a few images but according to your personal needs, you may delete or add to the images in this Excel tab as you wish.
How It Works
If you're a visual learner and want to see how easy it is to add an icon, take a quick look at the animated GIF below. The animation walks you through adding a new icon for the service 1Password.
Online instructions are great, but I have found through my experience that instructions housed inside your spreadsheets are much more useful and secure (and they never get lost!). This template has a separate tab dedicated to instructions and tips, so you never have confusion when operating your template. Also, there is a check box control near the top right of the password tab providing the functionality to hide and un-hide this worksheet whenever you want.
There are two versions of this template available to download. Skim down through the Feature Grid below, so you can determine which version is right for you!
The My Passwords tracker is compatible with Windows versions of Excel 2007 and greater (even Excel 2016!).
Due to a bug where you cannot rename images on the Mac version of Excel, the My Passwords tracker can only function fully on a PC. I have posted a bug fix recommendation to the Microsoft Mac Excel development team HERE. You can upvote this issue to get it higher on the Dev Teams priority list.
